Privacy notice

Books is the accounting application used by the owners and authorized staff of our companies. It is not offered to the public and has no consumer accounts.

• Bank data for our own company accounts, received through Plaid after an authorized person connects the account: account name, masked account number, balances and transactions.
• Accounting records that our staff and business systems create.
• Staff sign-in details: name and work email address.
• Payee information needed for tax reporting.

We never receive or store a bank username or password. Those are entered only in the window provided by Plaid and the bank.

An owner or finance member chooses to connect a company bank account and gives consent in the Plaid window before any data is shared. Plaid's handling of data is described in the Plaid End User Privacy Policy.

We use this information only to keep our companies' books: recording and matching transactions, reconciling accounts, preparing financial reports and meeting tax obligations.

We do not sell data and do not use it for marketing. Bank data is received from Plaid, stored with Supabase and served through Netlify. We share it with no one else except our accountants.

Data is encrypted in transit and at rest. Access is limited to named, authorized staff by role, and sensitive actions are logged.

We keep accounting records, including supporting bank transactions, for seven years to meet tax record requirements, then delete them. Disconnecting a bank immediately deletes the stored access token and removes the connection at Plaid.

An account owner may ask us to delete data that we are not required to keep. We complete such requests within 30 days.

An owner or finance member can disconnect a bank at any time in Books under Banking.
